Office Policy
Patient Billing
We strive to see patients at their scheduled appointment time. However, this is not always possible due to the nature of the practice.
Emergencies do occur and we hope you understand and appreciate the importance of seeing these patients first. Children with an acute illness are seen the same day by the first available physician unless a particular doctor is requested. Otherwise, scheduled appointments for well care will have priority.
Your children are probably going to visit the practice more during the Fall and Winter months than any other time of the year for illness. Although we expand our schedules during this time to accommodate ill children, the best planned schedule does not always keep things on time. Please be patient with us during these times as we strive to see your ill children the same day that you call the office.
Telephone Services
During office hours, requests for prescription refills, immunizations and other medical records are handled by our office personnel. These types of requests can only be handled during our normal office hours – Monday through Friday, 8:15AM to 5:00PM. All requests will be handled within 48 hours. When leaving a message, please clearly and slowly spell the child’s name, give his date of birth, and leave a telephone number where we can reach you before 5:00PM in case we have questions regarding your requests. We strive to offer prompt response to all calls. Typically we will have a nurse available to answer any questions you may have. However, occasionally she may be busy; please leave your name, child’s name, and telephone number so that she can return a call to you.

Nursing Services
Our medical personnel is of the highest quality. The nursing staff is licensed in the state of South Carolina. We entrust our medical personnel to handle your routine questions regarding well care and illnesses. Inservicing is ongoing with our staff to provide you with the most reliable medical information available. A physician is always available for any additional information that may be needed to assist you.

Consent for Treatment
It is required that we have a written consent for treatment of your children in the event that the parent or legal guardian is unavailable to bring a child in for service. We have available in our office a pre-authorization form that must be filled out and signed by the parents or legal guardian which allows specified named individuals to bring your children to our office for treatment. However, treatment will be initiated when there is an emergency situation in which the child’s life could be threatened regardless of written notification. We will make every available effort to contact the parent of the child while services are being rendered.

Vaccine Program
The state of South Carolina will cover the cost of immunizations under the following situations:
- Participation in the SC Medicaid Program
- Your child is a Native American
- Your insurance carrier does not cover immunizations
- You have a deductible that has not been met
- You have a limit on the amount per year for well child care
- You do not have any insurance
The immunizations are bought through a state contract with pharmaceutical companies and are not generic.

Hospitalization
It may be necessary for your child to be hospitalized for an illness or condition that can not be handled in the office setting. In those situations, the child may be admitted to Aiken Regional Medical Center unless the condition is such that one of our physicians recommends admission to Children’s Hospital at MCG.

Medical Records
Please allow 72 hours for copies of any type of medical records. One copy of medical records will be provided free to you or another practice. There will be a charge for any additional copies. Only copies of our office records will be provided.
